A useful biometric attendance AMC describes what will be checked and who is responsible when an issue occurs. The agreement should match the installed devices, software and locations. A general promise of maintenance does not establish whether replacement parts, software work or network faults are covered.
Start with an equipment register
Record the model, serial number, location, power arrangement, communication method and software associated with each terminal. Identify the authorised customer contact and the administrator responsible for employee changes. Keep credentials separately under the organisation's control. The equipment register gives a service visit a clear scope and helps distinguish an individual fault from a shared connection issue.
Agree the preventive visit checks
- Inspect mounting and visible external damage; refer electrical or internal repairs to the appropriate authorised person.
- Review sensor or camera condition using the manufacturer's cleaning guidance for that model.
- Check the displayed date and time against the agreed attendance setup.
- Demonstrate verification with approved test users and review failed attempts.
- Confirm record collection using the installed network or USB workflow.
- Reconcile sample source events with the software report.
- Record any fault, recommendation and unresolved action in the visit report.
Define backup responsibility
Attendance records, enrolment data and software configuration may need different backup procedures. Ask what can be backed up for the selected model and software, where the backup is held and who checks recovery. Retention and access should follow the organisation's approved process. An AMC should not be treated as automatic cloud storage or an unlimited data-recovery guarantee.
Review battery and network dependencies
Where battery backup is fitted, agree a practical check and record the observed result without assuming the same runtime for every device. The terminal, network switch and reporting computer may have separate power dependencies. A working terminal can still have a reporting delay if another part of the collection path is unavailable.
Make inclusions and exclusions explicit
Ask the quotation to specify preventive visit frequency, remote assistance, support hours, response arrangements and covered locations. Confirm how hardware spares, batteries, cabling, civil work, travel, software licences and third-party network changes are handled. Response and resolution are different commitments; neither should be inferred without an agreed term.
Keep a service record that supports the next visit
Record what was tested, the outcome, any changed settings approved by the administrator and who owns the remaining action. If a device is replaced, plan employee mapping, enrolment and report continuity before removing the old unit. Compare the affected reporting period after service so missing or duplicate events can be reviewed.
